How to Guides for RBTs
Obtaining your RBT Credential
Complete the 40-hour course
Review the RBT Handbook and create your BACB account
The process of creating your account, application process, and exam information is outlined in the RBT Handbook
Talk with your BCBA(s) about when is best to complete the initial competency
Review the initial competency packet prior to have a better understanding of what you’ll be asked to perform and explain
If you missed areas, your BCBA will go over areas to review
Once you’ve completed the initial competency, follow the steps outlined in the RBT Handbook to upload your documents and schedule your exam
Send the receipts for your application and test fees to hr@ogbehavior.com to be reimbursed
Upon passing your exam, send results to hr@ogbehavior.com and admin@ogbehavior.com

Maintaining your RBT Credential
Download your supervision log from Aloha every month for the month prior
You are responsible for maintaining supervision records for 7 years in case of an audit
Log in to Aloha
Select the reports icon on the lefthand of the screen
Select “My RBT Supervision Log”
Filter the month and push “Generate”
Download the report and save for your record
You will receive an email from the BACB 45 days prior to your renewal date
You are responsible for communicating and scheduling with your BCBA(s) to complete the renewal packet
Once you’ve completed the renewal competency, follow the steps outlined in the RBT Handbook

Time Off Request Policies
Planned Time Off
Request time off from ALL of your supervisors via email at least 2-weeks prior to your time off.
Clinics may request you fill out the request on paper. Please contact your Regional Director for clarification
Ask other RBTs if they are available to cover the session(s) you will miss
Communicate coverage with your supervisor(s) and clinical assistants.
Use the Time Off Request Link to request the time off.
Your sick/PTO balance can be found in workforce on your paystubs
Once reviewed, you will receive an automated email and any paid time will be input into Aloha.
As your time off approaches, remind home clients of your time off and any make-up sessions or cancellations (if not covered).
Unplanned Time Off
In the event of illness, weather cancellation, etc, please notify all supervisors with as much notice as possible.
If sessions are unable to be covered, please notify the client/caregivers with as much notice as possible.
Clinics may be able to more readily cover sessions and therefore may not require you to reach out to the client/caregivers
Use the Time Off Request Link to request the time off.
Once reviewed, you will receive an automated email and any paid time will be input into Aloha.
Time off requests must be completed regardless of sick/PTO time being applied.

Starting with Clients
Catalyst
Your BCBA should have you added to the client’s folder in Catalyst.
If for some reason you have not been added, please reach out to admin@ogbehavior.com or hr@ogbehavior.com and we’ll get you added
Select “Manage Students” and add the client in order to see their programming and documents.
Review programming, BIP, and any other relevant documents.
Aloha
Your BCBA should have added you to the client’s assignment in Aloha.
If for some reason you have not been added, please reach out to admin@ogbehavior.com or hr@ogbehavior.com and we’ll get you added
Create an appointment (for repeating appointments, please see the guide linked at the bottom of the page).
Sandata
Gather the client’s Sandata number from Aloha prior to session.
Client cabinet in Aloha under “custom fields”
When you arrive at session, log in to the Sandata app.
Input client’s Sandata number and click search.
Select “start visit”, select service bubble, click start visit, and confirm “yes” you want to start the visit.
If you are at an alternate location (not at home or not at the clinic), click “add tasks” and select alternate location bubble
Click NOTES tab and type in the address you are currently at
At the end of session, log in to the Sandata app, click the three horizontal lines, select visits, and select the client’s name.
Click complete visit and confirm.
